A CRM is the system where contacts, conversations, quotes and closed deals all live in one place. It answers three questions that otherwise sit in individual heads: who are we talking to, what was said last, and which quote is still open. Without one, that knowledge leaves the company the day someone resigns.
What separates it from a contact list
A contact list tells you who someone is. A CRM tells you what has happened with them and what is due next. The difference is the timeline: every message, call and quote hangs off the contact and can be read back later.
That is also where most rollouts die. A CRM nobody logs their conversations in is a contact list with a licence fee — and it gets switched off after four months.
When one earns its keep
A working rule: as soon as more than one person talks to the same customers, or as soon as more than two weeks pass between first contact and close. A trades business taking direct jobs gains little; a consultancy with three-month cycles gains the difference between following up and forgetting.
The second trigger is wanting to know which source produces enquiries. Without a CRM, measurement stops at the website form (see customer journey); with one, you can trace back from the signed job.
Data protection is not a footnote
A CRM is a pile of personal data. The revised Swiss Data Protection Act requires a record of processing activities and transparency about what is stored and for how long. Loading contacts from bought lists adds an unfair-competition problem on top of the privacy one.
In practice: set deletion periods, restrict access by role, know where the data physically sits. A CRM hosted outside Switzerland is permitted — it just has to be named and safeguarded.
How we handle it
We built our own CRM because the standard systems were simultaneously too much and too little for how we work. For clients the order is the same: process first, then the question of whether a standard product carries it or an internal tool is cheaper.
What is almost always missing is the connection forward: the website enquiry lands in an inbox instead of the system. That is one day of integration work, and it is where measurability actually starts.
